Communications Consulting + Adoption Planning

This category encompasses requests for communications adoption plans for new UTO services and products or major updates to existing ones.

University-wide Communications Adoption Plan
Select this category when a new product or service is being developed for ASU-wide usage. Timeline: 3 months lead time prior to product or service launch.
Communications Consulting
Select when a consult with UTO on the communications architecture for a current or upcoming project. Timeline: 2 weeks from ticket submission depending on the nature of the consultation.
Specific Stakeholder Groups -Communications Adoption Plan
Select when a new product or service is being developed -- or an existing product or service is undergoing a major update -- for a specific group of stakeholders. Timeline: 2 months lead time prior to product or service launch.
Strategic Communication
Select this category an overall strategy for highly targeted communications is needed (e.g., making a case about an initiative to the Provost’s Office). Timeline: Depending on the nature of the communication, please be mindful of urgent requests.

Product or Service Advisories

This category should be selected when there is a performance issue or outage that requires stakeholder communication. 

Timeline:  For outages, please request 24 hour turn around when possible. For maintenance and known updates, please provide a minimum of 30 days.

 

UTO-Wide Communications

This category encompasses requests for Slack announcements in the #UTO-Announcements channel. 

Milestone Announcements
Select when someone is retiring, beginning a new role at UTO, or celebrating something big to request an announcement be drafted and shared with UTO. Timeline: Birthdays, new hires, and workaverseries are announced every Monday. Retirement celebrations please give 1 weeks notice.
Organizational Change Communications
Select when a UTO department or team is undergoing significant changes (e.g., restructuring) to request an announcement be drafted and shared with UTO. Timeline: 1 week lead time.
Internal Job Postings
Select when a new UTO position is open. Posting includes Linkedin as well. Timeline: 1 week lead time.

Editoral 

This category encompasses requests for broadcasting stories across UTO and beyond.

Social Media Coverage
Select when you want to publicize on UTO’s Twitter, Linkedin, Instagram, or YouTube. Timeline: 2 day minimum excluding video creation.
Article Creation or Review
Select when you want support to create a story (article). This can include writing, content editing, and copyediting. Timeline: 3 weeks for article creation. 1 weeks for review
Website Content
Select when you need content created for a current website, such as promotional text. Please note: UTO Creative & Communications is not responsible for developing new websites. Please ensure a SME/developer is available for continued updates. Timeline: Courteous amount of lead time for website additions
Slide Decks
Select when you need a slide deck created or reviewed for a major event or presentation. Please note: UTO Creative & Commons encourages UTO staff to create their own decks leveraging templates from the Marketing Hub. Timeline: 2 week minimum lead time.
Logos + Branding
Select when your project requires a logo and branding strategy that aligns with the overall UTO brand. Timeline 1 month lead time.

Event Coordination

This category encompasses requests for planning and executing events.

Internal UTO Event Planning (UTO-facing)
Select when you are coordinating a conference, workshop, focus group, or other major internal UTO event (UTO participants only) led by UTO leadership. (Example: Engage) Timeline: 6-9 months lead time.
Internal ASU Event Planning (cross-institution)
Select when you are coordinating a conference, workshop, focus group, or other major internal ASU event (ASU participants only) led by UTO leadership. (Example: Empower) Timeline: 6-9 months lead time.
External Event Planning (participants outside UTO/ASU)
Select when you are coordinating a conference, workshop, focus group, or other major external ASU event (involving participants outside of ASU) led by UTO leadership. (Example: ShapingEDU Unconference) Timeline: 6-9 months lead time.

Media Requests

Select when you are planning to engage with the media and therefore require UTO Creative & Communications support. Please note, with media requests we must engage ASU Media Relations office. Please allow 7 -10 business days for a response from them.

Signage

This category encompasses requests that have a need for digital or print signage.

Digital Signage
Select when you need content displayed on UTO digital signage or support on digital signage for an event. Timeline: 1 week lead time.
Print Signage
Select when you need print signage created or reviewed. Timeline: 1 week lead time.

Videography

This category encompasses requests for videography, editing, and project consultations.

Social Campaigns
Select this category when a social campaign with video is needed. Timeline: 1 months lead time prior to product or service launch.
Consultation
Select when a consult with the C + C team is necessary. Timeline: 1 week lead prior to scheduled meeting.
Editing
Select when you have existing footage you need help crafting into finalized products. Timeline: 1 month lead time.
Feature + Milestone Stories
Select when a feature video is necessary. Timeline: 1 month minimum lead time.
